We are pleased to announce that the OCF’s 2020 Annual General Meeting (“AGM”) will take place on Saturday May 23rd, 2020 at 10:00am. Due to the COVID-19 pandemic, this year’s meeting will be held virtually via videoconference.
The OCF Board of Directors (“Board”) will present a summary of our activities during the 2019-2020 season and, as much as possible given current uncertainties, discuss future plans and priorities.
The 2020 AGM agenda is as follows:
- Welcome and introductions
- Approval of 2019 AGM minutes
- Annual report
- Introduction of candidates for election to the OCF Board
- Other business
Important: Instructions for joining the meeting will be shared with OCF Members (anyone with a 2019/2020 Competitive Athlete, Coach and/or Supporter membership) by email in advance of the meeting. To make sure you receive this information, please make sure your membership and contact information are up to date in the OCF registration system.
Call for Candidates for Election to the OCF Board
This year, there are four OCF Board positions up for election.
The OCF Board normally consists of seven directors, elected by the OCF Members and each serving a two-year term (each a “Director”). Terms are staggered so that there is always continuity on the Board. The terms of three Directors end May 31st, 2020, and a fourth position will become vacant effective May 31st due to a resignation. Directors elected at this year’s AGM will commence a two-year term starting June 1st, 2020. Details on the current Board can be found here.
Any adult OCF Member in good standing is eligible for election to the Board. The following skillsets and experiences would be particularly valuable additions: not-for-profit organizations, other sports organizations, finance, legal, accounting, other directorships, corporate governance, marketing, fund-raising and information technology.
Interested parties are asked to submit a brief statement describing their background, their relevant skills and experience, and why they wish to join the OCF Board. These statements will be shared with OCF Members in advance of the AGM. Candidates will be also given an opportunity to make brief statements at the AGM on May 23rd.
Candidates letters of intent should be submitted to the OCF Registrar at registrar@climbontario.ca by May 8th, 2020 at 11:59pm.
Voting Procedure for New Directors
New Directors are elected by the OCF Members. Each adult Member is entitled to one vote. Child Members (those under 18) may not vote, but their parent or legal guardian may vote on their behalf.
The election of new Directors will be done electronically this year, and we will send detailed voting instructions to all Members by email in advance of the AGM. As noted above, please make sure your membership and contact information are up to date in the OCF registration system.
